75 travellers, two weeks, one Middle East crisis: rerouting a mission that couldn't be moved
One of our customers – a US-based NGO – delivers health programmes in some of the world's most under-resourced communities. Their teams don't do this from behind a desk. They're on the ground, in difficult places, where showing up changes lives.
And getting from place to place isn't simple. Their travel programme is built around the realities of donor-funded work: complex multi-leg itineraries, diverse passport holders, strict policy guardrails and a need for unwavering reliability.
For four years, Corporate Traveller South Africa has looked after their African travel, supporting staff flying out of countries like Nigeria, Kenya, Côte d'Ivoire and Senegal.
When conflict escalated across the Middle East in March, major airlines connecting Africa to Asia were forced to either suspend or limit operations. The organisation had a donor-funded conference in Cambodia that could not move, and suddenly almost every flight they booked was gone.
This is the story of what happened next.
The challenge
A conference that could not be moved
The NGO had planned a major conference in Cambodia for late March. With donor funding already committed and delegates flying in from around the world, including 75 due to travel from Africa, postponement was not an option.
Then the conflict in the Middle East escalated. Emirates, Qatar Airways, Etihad and Saudia, the carriers operating the most direct routes between Africa and Asia, were all affected, and the organisation's flights were almost entirely booked across these four airlines.
The decision was made to reroute the entire African contingent through different hubs – and on different carriers.
“Africa routes to Cambodia are limited at the best of times. Emirates, Qatar and Etihad are the main airlines that operate the route, and with a travel policy of no more than six travellers per flight, availability on other airlines got very tight, very quickly. At one point we were only half-joking about asking the airlines to build more planes for us.”

That six-per-flight rule, a long-standing organisational risk policy designed to protect donor-funded work and the safety of staff, was non-negotiable. Combined with the fact that most of the delegates were African passport holders requiring transit visas for European routings, the available options narrowed dramatically. Air France was off the table for many. So was anything routing through Schengen territory without weeks of additional visa processing.
And the timing was tight. Travel was due to begin at the end of March. The team had roughly two weeks to redesign the entire programme.
Our approach
Two specialists, daily meetings and a colour-coded spreadsheet
Deon Main, the NGO's dedicated Travel Manager at Corporate Traveller South Africa, has looked after the account since the partnership began. As the scale of the rerouting became clear, Yvette Seri joined him to share the load.
Together they worked through every booking, mapping each traveller against airline availability, visa requirements, the six-person cap and the conference start date.
Daily meetings ran across three time zones, with the South African team joining calls late afternoon to align with US colleagues in New York and Washington while the organisation's on-the-ground team in Cambodia prepared for the event. A shared spreadsheet, colour-coded and tabbed by flight, kept track of who was on which route, who needed alternative dates, and where a six-person ceiling had been reached.

Turkish Airlines and Ethiopian Airlines absorbed the largest share of the rerouting. Thai Airways, Singapore Airlines, Cathay Pacific, Malaysia Airlines, Kenya Airways and Air Côte d'Ivoire all played a part. Some travellers ended up with two stops, a few with three. Several departure dates had to be brought forward or extended to fit availability within the policy constraints. None of the conference delegates missed the opening.
A genuinely global account, handled locally
The NGO's travel is managed across Corporate Traveller's South African and US teams, and a rerouting of this scale drew on the strengths of both. The South African team led the African delegate bookings, while their US counterparts handled travellers based stateside, with both sides sharing intelligence on availability, pricing and routing options as the situation evolved.
That global footprint matters. It means access to a wider pool of fare options and travel intel, buying power, and the ability to share workload across time zones when speed is critical.
The impact
Thirty flights, 75 travellers, two business days, one cancellation
Of the African cohort booked for the Cambodia conference, only one cancelled. Every other delegate arrived on time, despite routes that in some cases involved travelling via Johannesburg, Singapore, Istanbul or Addis Ababa to reach Phnom Penh.
There was no pushback from travellers on the alternative carriers. There were no missed flights for the conference itself. And Corporate Traveller's after-hours support team handled a small number of in-transit issues without disruption.

The Cambodia rerouting came on the back of a year where the NGO had already been faced with funding changes and significant operational disruptions. Through both, Corporate Traveller South Africa held the travel side steady so that the work could continue.
For Deon and Yvette, the experience reinforced what good crisis travel management actually looks like, and it has very little to do with global airline relationships in moments of system-wide disruption. When everyone is affected, no traveller is prioritised over another.
